Report Queues provide a facility to pre-define a group of one or more Reports with selected options, to simply run at the click of a button. Additionally "Report Queues" allow you to Preview, Print or Email the Reports.
This, therefore, makes them very useful for things such as:
- Saving specialised report parameters so that they don't have to be re-entered every time the report needs to be run. For example:
- Account Trial Balance Report for a range of Account Types.
- Account Trial Balance Report grouped by Account Types.
- Account Trial Balance Report grouped by Account Types and for a range of Account Types.
- Daily or Task orientated Reports.
- Typically one or more Reports might be printed prior to completing some task.
- For example, prior to chasing overdue accounts one or more reports with set options might be printed.
- A Report Queue could hold the list of Reports and their options to print in one place.
- Monthly or other Periodic series of Reports.
- Typically a series of Reports are printed at the end of each month, quarter or year.
- These reports can be saved as a "queue" and run together without user interaction.
Benefits of using Report Queues include:
- Reduced errors. As report options are saved with the Report queue there is less scope for user errors. For example, forgetting to group by or set other options when running each report individually.
- Speed. Because "Queued" reports are run without user interaction they might be set to run at the end of the day, i.e. overnight, so as to minimise the impact on your computer network. This is especially important if a report takes a long time to generate.
Report Queues are simple to create and modify. Preview the report with all the options required, then click the "Add Report to a Queue"
button, on the Report Preview Toolbar. Further instructions are available here.
